My report or dashboard numbers don't match
A checklist for finding why two screens show different totals.
Two screens can both be right and still differ. Check these in order.
- Same dates? The dashboard shows the current month. Reports use the dates you pick.
- Drafts and voids. Draft documents usually don't count. A voided document is reversed with its own line instead of being deleted, so it can appear on both sides of a total.
- Which date is used? Invoices count by issue date, bills by bill date, payments by payment date. A payment made next month isn't in this month's cash.
- Closed period? A late entry can't be added to a locked period, so it lands in the next one. See Closed periods.
- Opening balances. Make sure they were entered on the right date. See Enter your opening balances.
- Tax basis. VAT reports use output and input VAT. Percentage-tax and VAT returns follow your company tax setting. See Tax settings: how your choices change invoices and reports.
- Follow one account. Open the General Ledger for that account and find the line that explains the gap.
- Check the Trial Balance. Debits must equal credits. See Run the Trial Balance and financial reports.
Tip: When you ask support for help, send the two screens, the dates used and the figure you expected.
