Client Portal logins, customer contacts and groups

Invite clients to the Client Portal, choose what they see, reset passwords, remove access, and manage contacts and customer groups.

Updated Nov 1, 2026

Clients sign in to the Client Portal to see their projects, invoices, contracts and tickets. Their logins are kept separate from your staff: they never appear in Administration › User Management.

Where: Projects & CRM › Client Portal. You need the manage customer contacts permission.

Invite a client

  1. Click + Invite a client.
  2. Pick an existing contact, or choose New contact and fill in the customer, name, Email (their login) and an optional job title.
  3. Under What they can see, tick Dashboard, Projects, Invoices, Tickets and/or Contracts.
  4. Click Send invite.

The client gets an email to choose their own password. Nobody on your team sees or types it. Until they sign in, the list shows them as Invited, not activated.

Manage a client login

Click Manage on a row:

  • Change What they can see and click Save access. It applies on the next page they open.
  • Send password reset email if they forgot their password.
  • Resend invite if they never got or used the first email.
  • Remove portal access to block their login. The contact and their history are kept, and Give access back restores it.

Use the search box and the Customer and Status filters (Active, Invited, not activated, Access removed) to find someone. Last login shows when they last signed in.

Client access on a project

Each project shows a Client access box with the customer's contacts: who can see the project, who has no portal login yet (Invite), and who still needs an email (Add email).

Contacts

Open a customer › Contacts to add the people at that company (name, email, phone) and mark one as primary. The contact list also shows portal access and lets you activate or deactivate it.

What clients see

At /client the client signs in and sees only their own company's records, limited to what you ticked: projects (with messages, files and feedback), invoices (PDF and Pay now when online payments are on), contracts to accept or decline, tickets, notifications, and My profile, where they update their name, phone and password. Share the client guide with them.

Customer groups

Customers › Customer groups lets you label customers (for example, retainer clients) for sorting and filtering.

Important: Portal access gives people outside your company a login. Give the manage customer contacts permission only to trusted staff. Every invite, access change and removal is in the Activity Log.
