Set up your products and services
Save your services and products once, with how they are billed and their tax, then pick them on proposals and invoices. Import or export them with CSV.
Products & Services (formerly Items) is the list of what you sell. Save each one once so you don't retype names, prices and descriptions on every proposal and invoice.
Where: Sales › Products & Services.
Add a service or product
- Click + Add product or service.
- What is it? Choose Service (work you do: retainers, projects, hours) or Product (goods you sell or deliver).
- Name: for example Social media management.
- Code (optional): for example SVC-001. It's useful for importing.
- Billed per: hour, day, week, month, year, project, session or package for services; pc, unit, box, pack or set for products. Choose Other to type your own, such as page or video.
- Price (₱).
- Tax:
- Non-VAT company: there is nothing to choose. The form shows that no VAT is added.
- VAT-registered company: choose the default tax: Vatable (12% VAT added), Zero-rated (0%) or VAT-exempt. If you're not sure which applies, ask your accountant.
- Description: printed on the proposal or invoice line.
- Click Save.
The list has All, Services and Products tabs and a search box for name or code.
How it works on invoices
When you choose a product or service on an invoice line, its description, price and default tax fill in. You can still change any of them on that invoice.
Each invoice line keeps its own copy. Editing or deleting a product or service later never changes invoices you have already issued, and it doesn't change your books. Journal entries come from the invoice, not from this list.
Tip: A one-off charge doesn't need a saved product or service. Choose custom line on the invoice and type the description.
Export to CSV
Click Export CSV to download everything as a spreadsheet file with these columns: name, type, sku, unit, unit_price, tax_type, description. You can use it as a backup or as an import template.
Import from CSV
- Click Import CSV.
- Prepare a CSV with a header row. Only name and unit_price are required.
- type:
serviceorproduct. Blank means service. - unit: for example
hour, month, project,pc. Blank means hour for services and pc for products. - tax_type:
vatable,zero_ratedorexempt. Blank means vatable. - sku (code) and description are optional.
- type:
- Choose the file and click Import.
Rows are matched like this:
- A row whose code matches an existing one updates that product or service.
- A row without a code, but with exactly the same name, updates that one.
- Every other row is added as new.
Rows with a problem, such as a missing price, are skipped. The list page shows which row it was and why. Fix those rows and import the file again; rows that already went in are updated, not duplicated.
