Record customer payments (full or partial)
Mark an invoice paid, or record partial payments into the right bank account.
You can record payments only on an issued invoice.
Paid in full
- Open the invoice (Sales › Service Invoices).
- Choose where the money went in Receive into… (for example BDO Savings or Cash).
- Click Mark as Paid.
Partial payment or several payments
- On the invoice, click Record Partial Payment.
- The page shows the Invoice Total, Paid So Far and Outstanding amounts.
- Under Record a Payment, enter the Amount, Date Received, Bank Account and an optional Reference # (check number, transfer reference).
- Click Record Payment. Repeat for each payment until it shows Fully paid.
Cash Sale paid on the spot
When you issue a Cash Sale invoice, tick Payment received today into and choose the account (Cash on hand, GCash, BDO…). The invoice is issued and recorded as paid in one step.
Payments made online
If you use online payments, you don't record those by hand:
- GCash, Maya or card (PayMongo / Xendit): recorded automatically once the provider confirms the payment, together with the provider's fee.
- Bank transfer proof from the client: check your bank, then confirm it on the invoice.
Made a mistake?
In Payment History, click Void on the wrong payment and record it again. Voided payments stay visible for the audit trail.
Other income
Income that isn't from an invoice (interest, refunds received, other receipts) goes in Income › Revenue.
Tip: The Accounts Receivable report (Reports) lists every unpaid invoice by customer, which is useful for follow-ups.
