Record attendance: manual entry and biometric import

Enter time in and out, or import a CSV from your biometric device, before computing payroll.

Updated Nov 5, 2026

Payroll uses attendance for absences, late minutes, undertime, overtime and holiday pay.

Enter attendance manually

HR › Attendance: pick the day, enter Time In and Time Out per employee, add notes, and click Save Attendance.

When you change a time that's already on record, a reason is required. Original punches are never deleted. They're voided with your reason and shown on the DTR Report.

Let staff clock in themselves

Besides manual entry and CSV import, staff can clock in on their own:

Both save normal punches that appear on this page and the DTR, and payroll uses them.

Import from a biometric device (CSV)

HR › Attendance › Import:

  1. Download template if you need the format.
  2. Choose your CSV file and click Preview. Nothing is saved until you confirm the preview.

Two formats work:

  • One row per day: employee_number, date, time_in, time_out, notes, with dates as YYYY-MM-DD and times as HH:MM (24-hour) or like 9:05 AM.
  • Punch log (device export, one row per punch): employee_number, datetime. The earliest punch becomes time in and the latest becomes time out.

Good to know:

  • Employees are matched by Employee #.
  • Days that already have attendance are skipped unless you tick replace existing on the preview.
  • Clocking in after the shift start plus grace is marked late.
  • Overnight shifts (time out after midnight) aren't handled by the punch log. Enter those manually.
  • Up to 5,000 rows per file.

Overtime approval

HR › Overtime lists overtime detected after the shift end. New overtime stays pending and isn't paid until you Approve it. Recompute the payroll after approving.

Important: Days inside an approved or posted payroll are locked. To change them, void that payroll first.
